Nothing breaks
when it's kept.
Prevent equipment failures before they become expensive downtime. MachineKept gives your team one place to track assets, manage maintenance, scan QR codes, organize work orders, and see which equipment needs attention.

The problem
Your equipment is already telling you something.
The information exists. It is just scattered across six places, and none of them talk to each other.
Spreadsheets
One person maintains it. It is current until they are on holiday, and nobody else opens it standing in front of the machine.
Paper logs
A binder by the walk-in. Impossible to search, impossible to total, and gone the first time it rains through the back door.
Text messages
"Fryer 2 is doing the thing again." No date, no asset, no record — and the thread is on a phone that left with the last manager.
Invoices in a drawer
The only proof of what was fixed and when. Filed by date rather than by machine, so nobody can see the same repair recurring.
Technician memory
Genuinely the best record you have, right up until that person takes another job and it walks out with them.
Nowhere at all
The filter change that was due three weeks ago. Nobody wrote it down because it lived in somebody's head.
A walk-in cooler doesn't fail on a slow Tuesday. It fails Friday night, full of product, when the service company is closed until Monday. MachineKept puts all of it in one place, on the machine itself.
How it works
Four steps. Then it runs itself.
Add
Enter every piece of equipment — make, model, serial, location, warranty. Twenty minutes once, for a typical single site.
Tag
Print a QR code and stick it on the machine. No special labels, no scanner hardware, no per-tag cost.
Track
Scan with any phone camera to open that machine's history, open issues, parts and service record. No login hunt, no searching a list.
Prevent
Recurring schedules tell you what is due before it is late, and the dashboard shows what is already overdue.
Equipment
Thirty seconds, start to finish.
Print a tag, scan it, log the repair. That's the whole product.
The product
Know every machine, every service event, every task that's due.
Every asset, one record.
Make, model, serial number, location, purchase date, warranty expiry, status and the full service history — attached to the machine, not to a person or a folder.
Warranty expiry is the one nobody tracks. Paying out of pocket to repair something still under cover is pure waste, and the date passes unnoticed in a drawer.
Turn equipment problems into trackable work.
Raise a work order against the machine itself. Priority, assignee, due date, parts used, and the notes the technician actually wrote — all of it lands on that asset's history.
The assignee gets a push notification when work is assigned or reassigned to them. That is sent by the server, not the app, so it arrives whether or not anyone has the app open.
Know what needs maintenance before it becomes an emergency.
Set a schedule once — weekly, monthly, quarterly, semi-annual, annual — and MachineKept tracks what is due, what is close and what has slipped.
A daily job checks every schedule server-side and pushes due-soon and overdue alerts to owners and managers. It runs whether or not anybody opens the app, which is the entire point.
Stop discovering you're out of the part mid-repair.
Part number, quantity on hand, unit cost, supplier and reorder point. When stock crosses the reorder point, MachineKept drafts a purchase order for you to review.
The draft is generated on the server, so it happens whether the stock was consumed from a phone, from the web dashboard, or by completing a work order — and it will not duplicate across two technicians working at once.
Know which equipment needs attention.
MachineKept turns your maintenance record into plain signals: what is overdue, what keeps coming back, what is offline or critical right now, and how much of your work is planned versus reactive.
QR codes
Point a camera at the machine. Get its whole history.
Print a code, stick it on the equipment, and anyone on your team can scan it with the camera they already carry. No app to hunt through, no asset list to search, no asking which fryer is Fryer 2.
This is the difference between a maintenance system people use and one they don't. A technician standing in front of a broken machine with greasy hands will not open a laptop and filter a table.

Downtime calculator
What does equipment failure cost you a year?
Move the sliders to match your operation. This is arithmetic on your own assumptions — nothing here is a claim about MachineKept.
Estimated annual equipment-related cost
Based entirely on the figures you entered.
Illustrative only. MachineKept cannot promise a reduction in these numbers, and this calculator deliberately does not estimate one — any savings figure would need an effectiveness rate we have no data to support. What preventive maintenance can do is make the work planned instead of unplanned, which is where the call-out premium and most of the downtime sit.
Alternatives
How this compares to what you're doing now.
Every one of these works for somebody. The question is which one fits the size you are.
Spreadsheets
Free and instantly familiar. Hard to keep current once more than one person touches it, and not usable in front of the machine.
Paper logs
Simple and reliable on the day. Difficult to search, impossible to total, and a single physical copy.
Traditional CMMS
Powerful and mature, built for plants with a maintenance department. Often more configuration than a smaller operation needs.
MachineKept
Built around fast equipment access, QR workflows, phones, and being set up in an afternoon by whoever is already doing the job.
Industries
Built for businesses that depend on equipment.
Restaurants
Fryers, refrigeration, ovens, ice machines, dish machines and the hood.

Trust
Your maintenance record is your record.
Separated by organization
Every read and write is checked against your organization's membership on the server, not in the app. A request for another company's data is refused before it reaches the database.
Role-based access
Admin, manager, dispatcher, technician and viewer. A technician can close work orders and cannot change what anyone is allowed to do — enforced server-side, so it holds regardless of which client is used.
Run on Google Cloud
Authentication, database and file storage are Firebase services on Google Cloud infrastructure. Passwords are never stored by MachineKept, and you can sign in with Google instead.
Delete your account
There is an endpoint for it in the product, not a support ticket and a wait. Your data goes when you say so.
You are talking to the builder
MachineKept is made in Tampa by one person. Email reaches him directly. That is an advantage while it lasts and worth using.
What we don't claim
No SOC 2, no ISO certification, no HIPAA. Those are real audits and MachineKept has not done them. When that changes it will say so here, with a date.
Start this afternoon.
